Homestay Information for Saitama University Summer Program Participants

We have reviewed your homestay application forms.
Please read the following important information carefully.

 

【1】Meals

Homestay accommodation includes two meals per day: breakfast and dinner. Some students requested breakfast only. However, the homestay arrangement for this program is normally two meals per day. If you have special circumstances, our office will contact you individually by email to confirm the details.

【2】Cooking Lessons

Some students checked the option requesting cooking lessons. Please note that cooking lessons cannot be arranged as part of this program. Thank you for your understanding.

【3】Check-in Date

Some students requested to start their homestay on June 6. Since the program begins on June 6, homestay check-in on that day will be after the program ends for the day. If you arrive in Japan before that date, we recommend moving into your host family before June 6.

【4】Arrival Flights

If you plan to move into your homestay on the same day you arrive in Japan, please book a flight that arrives no later than 6:00 PM. Once you have booked your flight, please send us the following information by email:

  • Flight number
  • Arrival time

【5】Airport Pickup (Optional)

Some students selected airport pickup in the application form. If you would like us to arrange airport pickup, the cost will be 38,500 JPY (including tax). Transportation will be arranged by taxi.

Please note that our airport pickup service is relatively expensive. Using public transportation is usually much cheaper in Japan. If you use public transportation, the host family can meet you at their nearest station. If you have heavy luggage, another option is to take a taxi from a major terminal station to your host family’s home. Please consider these options when planning your arrival.

【6】Next Steps

Please see the process from now until your homestay check-in.

  1. Application Review
    We will review your application form and check for any missing information or unclear points.
  2. Follow-up Email
    If we have any questions, we will contact you by email. Please reply to our questions when requested.
  3. Submit Your Flight Information
    Please send us your flight information (flight number and arrival time) as soon as possible.
    If you have already submitted this information, you do not need to send it again.

If you selected airport pickup but later decide that you do not need the pickup service, please inform us at this stage.

  1. Invoice Issuance
    Once your flight is confirmed, your homestay check-in and check-out dates will also be confirmed, and we will issue an invoice.

We use a payment platform called Flywire.
You can pay by credit card or by bank transfer through this platform.

  1. Payment
    Please complete the payment within one week after the invoice is issued, if possible.
  2. Host Family Confirmation
    Your host family will usually be confirmed about two weeks before your check-in date.
  3. Meeting Arrangement
    We will coordinate the meeting time and meeting location with your host family.
  4. Homestay Check-in
    You will meet your host family and move into your homestay.
